Features

Everything your counter needs

Matih Setu does the daily work of a kirana or general store: billing, stock, GST, money and staff. Here is what it does, in plain words.

At the counter

Made for the evening rush. The keyboard does most of the work, and the mouse works too.

  • Scan and go. A barcode scan puts the item on the bill at once. A new barcode can be saved on the item right from the bill.
  • Find by name. Type a few letters of the item's name and pick it from the list.
  • Loose goods. Sell by weight, and read the weight from a weighing scale connected to the PC.
  • Packs and pieces. Sell an item by the piece or by the box, each at its own price.
  • Hold a bill. Put a bill aside while the customer fetches one more thing, and bring it back when they return.
  • Returns on the same bill. Take back an item from an earlier bill while making the new one. The refund comes off what the customer pays.
  • Every way to pay. Cash with the change worked out, UPI, card, credit on the customer's khata, and loyalty points.
  • The customer's last rate. See the rate you last gave this customer for an item.
  • Touch billing. On a touch screen, the cashier can tap items instead of typing.
  • Safe through a power cut. The bill on the screen is kept, and Setu offers it again when it starts.
  • Cash drawer. It can open by itself on every cash bill.

Bills and printing

Bills that look right on the paper your shop uses.

  • Thermal roll bills, 58 mm or 80 mm wide, with the totals and the amount in words.
  • A5 or A4 GST invoices for customers who need a full tax invoice.
  • Print once in another size. Print a saved bill once as a roll, A5 or A4 bill, without changing your usual layout.
  • Reprints say DUPLICATE, so anyone can tell a reprint from the original.
  • Your own lines on every bill: header lines, terms, remarks and a thank-you message.
  • Share a bill on WhatsApp from your own WhatsApp, when a customer asks for it.
  • No messages to your customers. Setu never sends messages or offers to your customers by itself.

GST

GST worked out the same careful way on every bill, so your figures add up.

  • For every kind of shop: Regular or Composition with a GSTIN, or a shop without GST registration.
  • GST rate and HSN on every item.
  • CGST and SGST in two equal halves on every line of a bill within your state. A purchase from another state shows IGST.
  • Bill numbers run without gaps and never change.
  • Nothing disappears. A wrong bill is cancelled with a reason, never deleted, and stays on record.
  • Supplier bills as printed. Enter a supplier's bill with the GST exactly as it is on their paper.
  • GSTR-1 and GSTR-3B worked out from your books for a month or a quarter, with files for the GST portal. Setu reminds you to check them with your CA before filing.
  • GSTR-2B match. Load GSTR-2B from the GST portal and see which purchases don't match.
  • HSN summary and a GST summary of sales and purchases.

Stock and purchases

Know what you have, what is running out and what is about to expire.

  • Old and new MRP kept apart. When the same item comes in at a new MRP, Setu keeps the old-MRP and new-MRP stock apart, under one item and one barcode. At the counter, the cashier picks the MRP printed on the packet.
  • Batches and expiry. Keep the batch, expiry date and manufacture date. The batch that expires first is offered first.
  • Purchase entry with the supplier's bill number, free items, discounts and GST. You see the landed cost and your margin as you type.
  • Returns to suppliers with a debit note, and a slip for the supplier's salesman to sign.
  • Lists that help you buy right: low stock to reorder, near expiry, slow moving and rack-wise stock.
  • Physical stock count, and stock corrections with a reason.
  • Barcode labels printed for your items.
  • Schemes such as buy X, get Y free.
  • Home delivery orders.

Khata and accounts

Your money in one place, from the cash drawer to the balance sheet.

  • Party khata. Customers on credit, with a credit limit and credit days for each. A cashier's bill over the limit needs a manager.
  • Dues to collect and dues to pay, party by party and by how old they are.
  • Money received and money paid, set against the right bills.
  • Expenses, cash book, bank book and bank reconciliation.
  • Day closing. See the cash expected in the drawer, count it note by note, and close the day.
  • Day book, sale and purchase registers, and item-wise sales with margin.
  • Profit and loss, trial balance and balance sheet, for any dates you choose.
  • Loyalty points that customers can pay with.
  • Excel files for your CA: registers, accounts and stock, and expenses. Only the owner can export.

Staff and control

Everyone has their own sign-in, and you decide what each person may do.

  • Three roles: cashier, manager and owner. Cashiers sign in with a PIN; managers and the owner with a longer passphrase.
  • Cashiers bill, take money and print. Rate changes, bigger discounts and cancelling a bill need a manager's or the owner's approval.
  • Balances hidden from cashiers. Party balances and cash in hand are hidden from cashiers by default. The owner can change this.
  • Only what each role needs. Screens a cashier may not open are greyed out.
  • Who did what. Setu notes who made, changed, printed or cancelled each bill, and keeps an audit log.
  • Wrong PINs. After too many wrong PINs in a row, that user is locked out for a few minutes.
  • Staff who leave. Remove their sign-in; their bills keep their name.
  • Change user in a moment at the counter, without closing Setu.

Backups and safety

Your bills are saved on your shop's PC first, and backed up in more than one way.

  • A checked backup every day, and before every update, on your PC.
  • A copy on your pen drive, locked with your own backup recovery key. Take it home, away from the shop.
  • Online backup. Once the owner sets the recovery key, Setu also sends a locked backup to Matih by itself. Only your key opens it.
  • Keep your recovery key on paper, at home. Without it, nobody can open those locked copies, not even Matih.
  • A new or repaired PC? "Restore my shop" brings your shop back from the online backup.
  • Locked to your shop's Windows account. The shop's data is kept for the Windows account your shop signs in with.
  • Early warnings. Setu tells you before the PC's disk gets full, and when the PC's clock is wrong, because bills take their date and time from it.

Moving from your old billing software

Start on Setu without typing your whole shop again.

  • Bring in your lists. Setu reads the files your old billing software exports, and plain Excel lists: items with their stock, MRP, rates, GST and HSN, and customers and suppliers with their balances.
  • Check before you bring anything in. Setu shows your old software's own totals next to its own, and points out any row with a problem.
  • A cut-over report to compare stock and dues with your old software, figure by figure.
  • Your old software is left alone. Setu never opens or changes its data. Keep it installed: your old bills stay there.
  • Done with you. Your Matih support person does the move with you, usually at the end of a day, so you bill in Setu from the next morning.

Hindi beside English

Menus that everyone at the counter can read.

  • Menus and screen titles in English, with Hindi beside them. English always comes first.
  • Your choice. Switch the Hindi off, or back on, whenever you like.

Help and updates

You run the shop. Matih support looks after Setu.

  • Set up for you. Your Matih support person installs Setu, the bill printer and your staff sign-ins.
  • Updates installed for you, with a backup of your shop taken first.
  • You'll know when there's something new. The owner sees a notice when a new version is ready, with a link to what is new. Setu never downloads or installs anything by itself.
  • Help is one call away. Setu shows your distributor's name and help line on its main window.
  • The keys on every screen. Press Ctrl+F1 to see the keys for the screen you are on.
  • Help pages on this site: read the help pages.
